The maths is handled for you. Every line calculates quantity against unit price, applies any per-item discount and tax, and rolls into a running subtotal. On top of that you can add an overall discount as a percentage or a fixed amount, a tax rate, shipping and any other charges, then record an amount already paid so the invoice shows a clear balance due. All amounts are rounded to two decimal places using whole-cent arithmetic, so the totals on your invoice always add up exactly.

What Is an Invoice?

An invoice is a document a seller sends to a buyer that lists what was supplied and formally requests payment for it. It records the goods or services provided, the amount owed, and the date by which the money is due. Sending one turns an informal arrangement into a written claim: it tells your customer exactly what they are paying for, and it gives you something to point to if payment is late.

An invoice is not a receipt and not a quote, and the difference matters. A quote is an offer made before any work happens and carries no obligation to pay. An invoice is issued after the work is delivered and asks for payment. A receipt comes last and confirms that payment has already been made. The same job can produce all three documents in that order.

Invoices also do quiet administrative work. They are the primary record behind your bookkeeping and tax return, they let you track which customers still owe you money, and in most countries a business must keep copies of the invoices it issues for a number of years. Sequential invoice numbering — INV-001, INV-002 and so on — exists so that record is complete and auditable, with no gaps and no duplicates.

What Should an Invoice Include?

A professional invoice is not complicated, but leaving something out is the fastest way to have it queried or quietly pushed to the back of the payment queue. Every invoice you create with this tool can carry all of the following:

  • Business information — your trading name, address, phone, email, website and logo, so the customer knows exactly who is billing them and how to reach you.
  • Customer information — the name, company and address of the person or business being billed, under a clear Bill To heading.
  • Invoice number — a unique reference such as INV-001. Both sides use it to talk about the same invoice, and your accounts depend on it being sequential.
  • Invoice date — the date the invoice was issued. This is the date your payment terms count from.
  • Due date — the exact day payment is expected. A specific date is chased far more reliably than a vague “on receipt”.
  • Products or services — a line for each item with a short description, so there is no doubt about what was delivered.
  • Quantity — how many units, hours or days each line covers.
  • Price — the unit price for each line and the resulting line total.
  • Tax — any VAT, GST or sales tax shown separately, along with your tax or VAT registration number where the law requires it.
  • Total amount — the subtotal, any discounts, shipping and other charges, then the grand total and the balance still due.
  • Payment information — how to actually pay you: bank details, accepted methods, and any reference the customer should quote.

Tax rules vary by country, so check what your own tax authority requires before you invoice — in some places the word “Invoice”, your registration number, or a specific tax breakdown is a legal requirement rather than a nicety.

Yes, at two levels. Each line item can carry its own discount and tax percentage, and the invoice as a whole can have an overall discount (percentage or fixed amount), a tax rate, shipping and other charges. Every total recalculates instantly as you type.

Can I create invoices on my phone?

Yes. The tool is fully responsive. On a phone the form appears first and the invoice preview sits below it, buttons are sized for touch, and there is no sideways scrolling. PDF download and printing work the same as they do on desktop.

Can I customize the invoice?
